final schedule. The room will be completely secured after closing time each day
and no one will be allowed in the room after that without express permission and
accompaniment of the Dealers Room Coordinator and the Director of Security.
*Electricity
Due to the increasing loads put onto the electrical system each year by dealers,
we are force to start charging for electrical outlet usage. This is done purely
to limit the load on the room and to prevent problems due this overloading. If
you do not pay to use an electrical plug at your table, you are expressly
forbidden to use electricity from the dealer's room at your table. You are,
however, allowed to use it at other table from dealers that have paid for the
right. While the convention will be using power strips and extension cords to
bring power to the tables, dealers are expressly forbidden from adding their own
cords or power strips. Dealers who are found to be using electricity at their
table without paying for the right to or are using more electricity then they
paid for (either by using addition plugs or through the use of a power strip),
will first be warned to unplug their items or pay for the right to use the
plug(s). If a dealer is caught again, they risk being removed from the dealer's
room with no refund.
*Sales Tax
All dealers are required to collect and report a state tax of 9.25% on all
sales. The only exception will be state licensed Non-Profit Organizations. If
you have any questions, please contact the dealers room Coordinator. When you
arrive at Mephit Furmeet to set up your table(s), you will be given a packet.
You will be required to fill out the information on this form and report all
your sales along with the tax money you collected. YOU MUST TURN THIS FORM IN
BEFORE YOU BREAK DOWN YOUR SETUP ON SUNDAY. Failure to do so will terminate this
agreement and you will be banned from being a Dealer at future Mephit Furmeets.
If you will be having multiple dealers at one table, you must let the Dealers
Room Coordinator know when you check in so the other dealers can fill out this
form too.
*Space Constraints
Space in the Dealers' Room is limited and we at Mephit Furmeet have made every
effort to maximize the number of dealer tables without sacrificing space behind
the tables or restricting the flow of traffic in the aisles. We ask that dealers
display/store their items on or behind the table and in such a way that it
doesn't block passage in and out of that table. Also, we ask that dealers limit
the number of people behind the table to two people per table. If there are any
special requests (power needs, wall space, distance from certain parties,
placement next to other parties) that need to be made please contact the Dealers
Room Coordinator. All requests will be taken on a first-come, first-served
basis, and must be made by July 1, 2007.
Each table will be approximately 72" in length and 36" in width. Each will be
provided with a tablecloth and two chairs per table. We will strive to provide a
minimum depth of 4 feet in the sitting area behind each table. Please note that
Mephit Furmeet makes no guarantees of any kind other than that we shall make
every reasonable effort to accommodate dealers who have unique requirements for
their displays. Given sufficient advance warning we will try to grant special
requests for table arrangements or placement, but we cannot guarantee that we
will be able to honor any such requests made after July 1, 2007.
*Guidelines on appropriate display of Merchandise
Most items can be sold in the Mephit Furmeets Dealers' Room, provided that such
items are not illegal in the state of Tennessee (meaning pornography involving
minors, firearms and other restricted weaponry, etc.). Items of an adult nature
may be sold, provided that these items are not on public display. Such items
that are not suitable for minors must be either covered or kept in a
clearly-marked binder. It is the responsibility of the dealer to keep such a
binder out of the hands of anyone under 18 years of age, and to ensure that the
material within it is discreetly handled when being viewed by a customer. All
minors will be given a special badge that will be different than normal badge.
Binders or portfolios containing uncensored artwork must be separate from other
binders. A tag or divider between 'regular' and 'adult' material is not
sufficient.
Keep the merchandise and displays reasonable and respectable (i.e. no
cheesecake/beefcake/bearcake/skunkcake/badgercake books where minors could grab
them, or see things that they shouldn't, according to TN law). No uncovered
'naughty bits'; use a Post-It note or something else to hide them underneath the
sheet so they can not be pulled up. Please remember that there are other people
out there that may not share your taste in art; please do not try to 'squick'
them, just because you can. Mephit Furmeet holds each dealer responsible to
ensure that minors are not permitted to view, handle, or be otherwise exposed to
adult materials. If you are in doubt, you can ask your client for identification
before allowing him or her to view your wares. Dealers who are repeatedly found
to be displaying adult-oriented items in such a fashion that they can be viewed
by underaged members will be removed from the Dealers Room without refund.
*Restrictions
1. No flashing/rotating lights, sound generators or other excessively annoying
displays will be permitted. Video soundtracks or other audio needs to be kept
so that it doesn't annoy customers or other dealers. The Dealers' Room
Coordinator and staff have the final authority on what does and what does not
constitute an annoyance.
2. Selling non-firearm weaponry such as broadswords is acceptable provided these
weapons do not have a sharp edge and that the purchases are fully wrapped
afterward. As per Mephit Furmeet Security Policy, these items may not be
waved or otherwise brandished in public. It is strongly suggested that
dealers urge customers who purchase such items to carry them directly to
their rooms.
3. No pirated material of any sort will be allowed in the Dealers' Room. Period.
Because of escalating enforcement by the RIAA and MPAA, we will only allow sales
of DVDs/CDs/other materials that were produced by the copyright holder. As
public domain is an increasing gray area, we must also regrettably state that this
will not be acceptable for sale at MFM. If anything is in question, we will require
proof of license or authenticity. Any violation of this will result of removal
from the dealers room with no refund of any fees.
4. No table space may be shared with or resold to another dealer without the
prior consent of Dealers Room Coordinator. This is for bookkeeping and tax
liability issues.
5. Due to the limited space behind tables, please restrict the number of people
seated at any one table to two. Keep all items neatly piled under the table
or as close to it as possible; do not impede the passage of other dealers
behind the tables. Any items that are placed in the aisle in such a way that
customer traffic is impeded will be removed by Dealers Room staff. Any person
or group of people that is causing undue congestion will be politely asked to
disperse.
6. There is to be no horseplay in the Dealers Room. We do not want to see anyone
trip and injure himself or someone else, or cause damage to someone else's
merchandise. If you break it, you bought it. Mephit Furmeet is not
responsible for injuries, breakage or loss incurred by or caused by any
dealer or member.
7. The Dealers' Room Coordinator and/or his staff reserve the right to refuse
service to any person or entity. If any one is disruptive, ignores the rules,
or harasses other persons and is not amenable to correction, Mephit Furmeet
will take the appropriate action, up to and including removal the offender
from the convention. This includes dealers and friends as well as
customers/members. If Mephit Furmeet's management is forced to eject a dealer
or any other person due to violations of the rules, no refund will be given
of any membership or table fees.
8. We understand the need for dealers to have a helping hand or two, to move in
merchandise and set up their tables. Dealers will be allowed to designate
one assistant/lackey per table, who may accompany them into the dealer's room
before and after closing. Likewise, we anticipate having several gophers
available for set-up and tear down assistance.
9. We will try to honor all special requests, but can not guarantee that all
special needs can be met.
*Other Details
1. Complaints or concerns should be directed onsite to the Dealers' Room
Coordinator or one of his staff members. Issues arising prior to the
convention should be directed to the Dealers' Room Coordinator.
2. All decisions made by the Dealers' Room Coordinator as to the appropriateness
of display, merchandise or conduct will be final.
3. Refunds for dealers tables that cannot be used will be issued if requested
before August 1, 2007. After August 1st a refund may be given on a case by
case basis.
4. Any person who accepts a dealer's table at Mephit Furmeet is understood to
have agreed to these rules.
